Re          : Leave Application and Overtime Work (OT) Leave Compensation for Technical Staff

1.  Approval of Annual Leave

​

  • Annual leave should be applied via U-portal.

  • Before applying, verbal/email endorsement from the academic staff users of the affiliated laboratory/laboratories should be obtained.

  • Following the handbook for non-academic staff, annual leave will not be granted without clearing the reported OT leave compensation (see next Sections 2 and 3).

  • In the Remark section of the application page, the following declaration MUST be made:

 

"Within the applied leave period, I have no teaching-related duty. The application has been endorsed by all academic staff users of the laboratories to which I affiliate. All leave compensation for OT reported to the Department has been claimed."

2.  Records of OT for Academic/Administrative Activities

​

  • Technical staff is required to record their OT in the OT Record Form (http://me.hku.hk/eform/igtechotrec.docx) and submit the form to Dr. Scott Chan biannually.

  • The submission deadlines are the first working days in January (for OT between 16 June to 15 Dec) and July (for OT between 16 Dec to 15 June). Late submission will not be entertained.

 

 

3.  Approval of OT Leave Compensation

  • OT Leave Compensation should be applied by emailing to Dr. Scott Chan. The application CANNOT be done via U-Portal.

  • The approval generally follows the guidelines in Section 3 of OT in the handbook for non-academic staff https://uis.hku.hk/uis/shnonaca/pdf/overtime.pdf. In particular, OT Leave Compensation should be cleared before applying any annual leave.

  • Compensation will be based upon the OT record(s) received on the one-hour to one-hour basis.

  • Similar to Annual Leave application, the following declaration MUST be made within the email

 

"The applied leave has been endorsed by all the academic staff users of the laboratories to which I affiliate to"
